This Privacy Policy explains in detail what personal information we collect, how we use and share it, how long we retain it, and your rights. It applies to our website, online services, and our SMS messaging program operated through Dayframer (DF) and Twilio for A2P communications. This policy complies with applicable U.S. laws, including the Telephone Consumer Protection Act (TCPA), California Consumer Privacy Act (CCPA), and carrier requirements for 10DLC registration.
2. What Information Is Collected
We collect the following categories of information:
• Information you provide: Name, email address, phone number, mailing address, and any details submitted through forms, checkout, or SMS replies.
• SMS-specific data: Mobile phone number, exact date and time of opt-in consent, message content sent/received, delivery receipts, and opt-out requests.
• Automatically collected data: IP address, device type, browser information, operating system, referring URLs, and usage analytics (via tools such as Google Analytics).
• Cookies and tracking technologies: Session cookies, persistent cookies, pixels, and web beacons (see Section 5 for details).
3. How Data Is Used
We use your information solely for the following legitimate business purposes:
• Delivering the SMS messages you consented to receive
• Processing transactions, appointments, and customer support requests
• Improving our website, services, and user experience
• Sending administrative communications (e.g., policy updates)
• Complying with legal obligations, preventing fraud, and enforcing our Terms
• Internal analytics and product development (data is aggregated and de-identified where possible)
4. SMS Opt-In Details
When you opt in to SMS (via website form, keyword text, or purchase confirmation), we record your explicit consent, the date/time, and the exact wording of the opt-in disclosure. You may revoke consent at any time by texting STOP (see our Terms of Service). We do not send SMS messages without valid, documented consent.
5. Cookie & Tracking Info
We use essential cookies to operate the site, analytics cookies to understand traffic, and marketing cookies (with your consent where required) to deliver relevant offers. You can control cookies through your browser settings or our cookie consent banner. We do not use tracking technologies to collect or store SMS consent data. Third-party analytics providers (e.g., Google) may set their own cookies; their practices are governed by their privacy policies.
6. Data Security Practices
We implement industry-standard technical and organizational measures including: encryption of data in transit and at rest (TLS 1.3 and AES-256), secure servers hosted by reputable providers, role-based access controls, regular security audits, and incident response protocols. SMS data is stored in secure DF/Twilio environments. While we strive to protect your data, no system is completely impenetrable; you accept this risk when using our services. We will notify you and relevant authorities of any data breach as required by law.
7. Data Retention
We retain your information only as long as necessary:
• SMS consent and opt-in records: for the duration of the relationship plus 5 years (to comply with TCPA record-keeping requirements)
• Message content and delivery logs: up to 2 years or as required by carriers
• Other personal data: until you request deletion or the purpose for collection ends
You may request earlier deletion (subject to legal obligations).
8. User Rights (Unsubscribe, Update Info, etc.)
You have the following rights:
• Opt-out/Unsubscribe: Text STOP or email us at any time
• Access, Correction, Deletion: Email joe@vcmcleaning.com to request a copy of your data, corrections, or deletion
• CCPA Rights (California Residents): Right to know, delete, opt-out of sale/sharing, and non-discrimination. We do not sell personal information. Submit requests via the email above or our dedicated CCPA form (if available).
• Withdraw Consent: For SMS or marketing at any time
We will respond to verified requests within 45 days (or 90 days if extended).
9. Clear “No Sharing” Statement About SMS Opt-Ins (CRITICAL)
No mobile information obtained through SMS opt-ins will be shared with any third parties or affiliates for marketing or promotional purposes.
Text messaging originator opt-in data and consent records will not be shared with any third parties, except the aggregators and providers strictly necessary to deliver the Text Message services (such as Twilio and Dayframer).
All other categories of information sharing explicitly exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding the aggregators and providers of the Text Message services. Limited sharing with subcontractors is permitted only when necessary for operational support (e.g., customer service or billing) and under strict data-processing agreements that prohibit marketing use.
10. Third-Party Services and International Transfers
We use Twilio and Dayframer as service providers; they process data only on our instructions and under contractual safeguards. We do not sell, rent, or trade personal information. If data is transferred outside the U.S., we ensure appropriate safeguards are in place.
11. Children’s Privacy
Our services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If we become aware of such data, we will delete it.
12. Changes to This Policy
We may update this Privacy Policy. Material changes will be posted here with a new effective date. If you are an active SMS subscriber, we may also notify you via text or email.
